PROJECT PURPOSE
The Oklahoma Department of Corrections has been trapped in a system of paper and pencil work flows for many decades. This project would allow the agency to convert many workflows into applications that are digitized or managed by a CRM-style application. This would also allow for these workflows to be included in business intelligence captures which improves the business and service of the agency. EVIDENCE
Employee performance and new employee job satisfaction are severely hampered by the aged systems the agency has in place. In many cases employees avoid doing necessary work because the outdated systems are cumbersome. It is a relevant truth that we do not attract or keep younger employees because of our lack of modern applications/digital systems.
POPULATION DESCRIPTION
These systems are spread across all agency business flows. Life Safety. Medical Services. Security Services. Operations. Programs. Mental Health. Human Resources. Facility Management. This list could go on as we have too many workflows that are based on pencil and paper and do not communicate with other applications in place. All inmates, all staff, and all families of both groups would see immediate benefits from this effort.
PERFORMANCE MEASURING
The many systems we maintain that are standalone or pencil and paper workflows would be put through a rigorous gap session and discovery process that would allow the project to know which systems needed modernization attention first. This would also allow the agency to combine workflows or do away with ancient workflows that were designed to simply support paper processes.
